Fill, an Austrian company specializing in mechanical and plant engineering, relies on PROCAD’s document exchange and collaboration solution for the secure exchange of documents with its external partners.

Karlsruhe, August 5, 2020: Faced with growing demands for an intuitive, yet feature rich tool for the quick and secure exchange of documents both from its IT department and its business users, FILL GESELLSCHAFT M.B.H. decided to make the switch from email and FTP. PROOM as a document and collaboration platform for product-centric companies was an obvious choice.

PROOM provides Fill with digital project rooms to orchestrate the extensive exchange of documents with automotive manufacturers and suppliers, an industry where secure data transfer and storage is of paramount importance. This in particular made the granular user control provided by the chosen platform an essential prerequisite for Fill. The solution has access controls in place and logs all document-related activities to ensure compliance standards are met.

Austria-based PRO.FILE Competence Center trisoft informationsmanagement gmbh implemented the platform for Fill, initially with 1,000 licenses. Since then, the company has purchased an additional 1,000 licenses. Fill has already transferred several million documents through the platform. Business users from across the enterprise are constantly using it to share drawings, BOMs, order details, and other documents with their suppliers. Most users, particularly those connecting from the outside, leverage the web interface. An additional module that allows for the synchronization of documents from within Windows Explorer is used by the internal staff, especially when it comes to the automated exchange of documents.

In addition to PROOM, Fill also leverages the PRO.FILE PLM and DMS^tec system. Before that, the company, like many others, used file drives to store its files – which turned its data estate into an unstructured mess. DMS^tec put an end to that. Documents from key departments such as engineering, product management, sales, and other customer-facing departments are now structured inside a network of relationships built inside the system, which provides each department with the ability to access and edit it based on their own requirements More than half of Fill’s 900 employees use the DMS^tec system, which is tightly integrated with the Infor ERP system, on a daily basis.
